About Field Ledger

Field Ledger is a contemporaneous record-keeping tool for US-based short-term rental hosts. It exists for one reason: for STR hosts pursuing the §469 STR-loophole strategy, the records the IRS expects get reconstructed in January instead of captured as the work happens.

The founder

Field Ledger is built by Petros Kapakos, a software engineer with 20 years of building business and financial systems for places that can't afford to get the data wrong — past American Express and Amazon, currently a senior engineering manager at a major cloud platform.

The product exists because no existing tool captured the records the §469 STR-loophole strategy requires — material participation hours (for §1.469-5T), mileage, per-property expense logging, and per-stay records (for the §1.469-1T(e)(3)(ii) average-stay test) — at the rigor a CPA would actually trust. Petros needed one for his own properties; now it's a product.

The structured CSV export, the suggested categorization, the per-property tracking — all of it is engineered to the standard you'd want from someone whose day job is building production systems at scale.

Field Ledger is operated by Kapakos LLC, a New York limited liability company headquartered at 7014 13th Avenue, Suite 202, Brooklyn, NY 11228. The product is available to US residents only.

Field Ledger is not affiliated with the IRS, Airbnb, VRBO, Booking.com, or any tax-preparation software vendor. We are an independent records tool — we do not provide tax, legal, or financial advice.

Product principles

  • Contemporaneous, not reconstructed. Entries logged as the work happens are contemporaneous and organized. Logs rebuilt in January are neither. Field Ledger is built around this principle.
  • Two capture modes, structured records either way. Log participation activities in plain language — the rule-based parser structures them. Capture trips, mileage, and expenses with quick guided forms so nothing is guessed. Each expense arrives with a suggested category for your CPA to review and confirm. Clean inputs, not interpretive guesswork.
  • US-only, by design. The §469 STR exception is a US tax-code provision. Field Ledger does not attempt to serve other jurisdictions. Regulatory clarity matters.
  • Records, not advice. Field Ledger captures what you did. It does not tell you whether you qualify for the §469 STR exception, whether to claim a deduction, or how to structure your tax position. That's your CPA's job.
  • Privacy-respecting analytics. The marketing site uses Plausible Analytics, which is cookieless and IP-anonymized. The app uses its own server-side event tracking. We do not share usage data with third parties.
