Good to know
- Opt-in. You choose when to use AI by clicking a button; no model runs otherwise.
- Drafts only. AI produces suggested entries you review and confirm. The human review step is unchanged.
- Not categorization. The AI structures your text or reads printed fields; it does not categorize your books, make tax determinations, or decide what counts toward material participation. That logic stays rule-based.
- Availability. These features are part of your plan's AI allowance and may be enabled per account; if you don't see them, contact support.
AI capture: type notes, get drafts
Instead of typing prefixed lines by hand, you can write what you did in plain English in the batch box and let AI structure it. For example:
cleaned the kitchen at the Brooklyn place for about 3 hours, then went to Home Depot for paint, 45 dollars
- On the Capture page, type your notes into the batch box.
- Click Create Records.
- The AI returns the same Trip: / Activity: / Expense: lines you could have typed, and each is staged as a draft.
- Review the drafts, edit anything the model got slightly wrong (with the pencil icon), then click Save All.
The model emits line text only — never a tax flag — so all of Field Ledger's taxpayer-safe rules still apply when the drafts are parsed. Your monthly AI usage is shown as a small chip and depends on your plan.
Receipt reading: a photo becomes a draft expense
Snap or upload a receipt image and let AI suggest the printed details as a draft expense for you to review. It is not bulk scanning and it is not applied automatically — it runs only when you ask.
- Go to the Documents page and click Upload receipt (choose the property), or upload the image first and use the row's Extract details action.
- Field Ledger reads the image and shows a “Suggested from receipt” card with vendor, date, amount, and a suggested Schedule E category.
- Check each field and correct anything. A date is required — Field Ledger never invents one.
- Click Create expense. The expense is materialized and the receipt image is attached to it automatically.
The suggested category is a starting point you review — downstream classification stays rule-based. HEIC photos from an iPhone are supported. To change an expense later, edit it from Review or Capture.
What the AI never does
- It does not auto-categorize your ledger, your Schedule E, or your material-participation hours.
- It does not decide what is deductible, what qualifies, or what to claim on a return.
- It does not save anything without your review and confirmation.
