Attaching a file
- On a staged draft or a Review row, use the Add receipt / Add photo / Add file control to attach one or more files to that entry.
- Or open the Documents page and use Upload file (for any supporting document, including PDFs) or Upload receipt (to upload and read a receipt image).
- Image files show a thumbnail; other files show a type icon. iPhone HEIC photos are supported.
How documents are organized
The Documents library groups your files into three tabs:
- Attached — linked to at least one entry.
- Not attached — uploaded but not yet linked to an entry; you can attach these to an entry anytime.
- Trash — documents you deliberately deleted.
Each document shows which property it belongs to and which entries it's attached to.
Finding a document in your ledger
From an attached document, use View in Review to jump straight to the exact entry it backs — the matching row is highlighted so you can see the receipt and the record together.
Detaching, deleting, and restoring
Removing a document from one entry only unlinks it — the file is never lost; it moves to “Not attached” and can be re-attached. Deleting a document moves it to Trash, where you can Restore it; items left in Trash are permanently removed after 30 days.
Editing and re-saving an entry keeps its attached receipts on the right record. Field Ledger is built so you never silently lose an attached file.
Reading a receipt with AI
For an uploaded, not-yet-attached receipt image, the Extract details action reads the printed fields into a draft expense you review and confirm. See AI capture and receipt reading.
